Executive Coordinator/Board Liaison

The Executive Coordinator/Board Liaison provides administrative support to assigned Executives to ensure optimal use of their time, and to the Board of Directors. In addition, this role is responsible for the office operations/facilities management for CMKL.

PRIMARY RESPONSIBILITIES:

  • Serve as the primary administrative contact with, and support to, the Board of Directors and associated groups/committees.
    • Provide effective communication between CMKL Executives and the Board of Directors
    • Monitor Board calendar and coordinate effectively
    • Monitor Board budget and payments
    • Work with the Executive Team and the Chairman to manage the administration of all Board meetings and events (agendas, coordination and distribution of meeting materials, meeting correspondence and execution, meeting minutes, etc.)
    • Maintain institutional memory around Board functioning
      • Maintain all Board documents and materials


  • Provide administrative support to assigned Executives and Executive Groups to ensure optimal use of their time
    • Manage calendars, ensuring schedules are handled in an efficient and professional manner:
    • Schedule group meetings (eg. Executive Team meetings, monthly Operations Review Meetings) and manage all associated administration of the meetings (coordinate and distribute pre-read materials, etc.)
    • Organize and coordinate travel plans, itineraries and agendas where needed
    • Provide other Executive administrative duties as required (expense reports, etc.)

REQUIRED SKILLS AND ATTRIBUTES:

  • Minimum of 3 years relevant experience in high-level, administrative support; minimum 3 years of experience supporting Boards;
  • Reliable, self-motivated, focused. Positive attitude, flexible and proactive;
  • Ability to multi-task, with strong organizational skills;
  • Ability to create and sustain strong working relationships; excellent interpersonal skills;
  • Ability to identify, creative solutions that address time, budget, quality with demonstrated skill in negotiation;
  • Sound judgement in decision-making and exceptional boundaries related to confidential information;
  • Ability to anticipate and use intuition, judgment, business/organizational knowledge, motivational techniques and personal leadership to meet Executive and Board needs; and
  • Fluent oral and written communication in English; Thai language skill is a plus

OTHER REQUIREMENTS:

  • Expert in MS Office Suite, specifically Powerpoint
  • Excellent interpersonal skills, both written and verbal
